Provident Trust Group values information security. In keeping up with ever-changing data protection standards, we’ll be transitioning to an email security system called MailGate.

Similar to other systems with which you may be familiar, MailGate scans outgoing emails to secure and protect sensitive information (e.g., account numbers, Social Security numbers, etc.). When an email containing sensitive information is sent, a separate email will be delivered to the intended recipient instructing them to log into a secure website to retrieve their email message. Recipients will need to register with MailGate when they first receive a secure email.

It’s important to note that emails delivered by Secure Mail will only be accessible for 6 months after the delivery of the email.

*Provident Trust Group recommends that all clients use the MailGate system to send emails containing sensitive information. To request a secure email, please email info@trustprovident.com.*

VIEWING SECURED EMAILS

  1. Recipient receives a secure email notification.
  2. Recipient clicks “View Message.”
  3. Existing users are directed to log into the secure website to retrieve their email. New users will be prompted to establish their login information.
  4. Recipient views their message over a secure and encrypted connection.

If you’re a returning user and have forgotten your password, you can use the reset password link to recover it. After nine (9) unsuccessful login attempts, the account will be locked and must be reset by contacting Provident Trust Group via:

ABOUT OUR SECURE EMAIL SYSTEM

MailGate is an application which scans outgoing emails, looking for matches to potentially sensitive information. When MailGate detects a match, the email is diverted to the Ascensus (Provident Trust Group’s parent company) Secure Mail website. This web-based application allows the recipient to log in and securely view those emails. The intended recipient will receive an automatically generated email notification to register and/or log in to the secure website to retrieve their email.

The MailGate filter logic has been set up to recognize certain character strings (alpha/numeric combinations) that are most commonly representative of confidential data. The rules that govern what data elements are secured are regularly reviewed and updated. Therefore, you may see emails getting diverted in the future that weren’t redirected to Secure Mail previously. This means that the system may secure newer emails that weren’t secured previously.

Because MailGate scans for multiple items, there may be occasions in which an item will be falsely identified as potentially confidential. This is known as a false positive, which is created when numbers that would otherwise not be identified as confidential information and captured are in the same format as a number that is considered confidential information.

Basic Example:
An email is sent containing a 9-digit ABA number. As Social Security numbers (SSNs) are also 9-digits, the email is flagged & secured as the system has recognized that the content could be considered sensitive information.

We recognize that false positives can be a burden to deal with; however, Provident Trust Group considers Information Security to be critically important to our clients. As such, we feel it’s much better to endure a few false positives than to send sensitive information that isn’t protected.
